Job Description
Purpose of the position
· Control of customer relations, office and service administration in accordance with Cummins requirements
· Develop and maintain good relationship with customers
· Manage customer database and develop plans to ensure business growth
· Actively promote the services offered by Cummins Ghana
· Follow Cummins pricing policy to make quotation for fixed customers; negotiate with new customers to acquire the best price.
· Be at the frontline of Customer Service and Sales Support
· Provide timely response to all queries on job related issues to customers
· Pre-book jobs and enter them on the Rascal system when required
· Capture Quick Serve data to job cards and compile all job cards
· Liaise with other departments to ensure that jobs are closed and invoiced
· Responsible for forwarding inter-branch queries to the appropriate quarters for immediate action and follow up
· Manage all Job Openings till invoices
· Sort out warrantable and billable jobs for immediate action accounts
· Liaise with Service, Sales and logistics teams to fulfil customer requirements
· Reconcile all finished jobs for immediate action
· Collate and sort-out all jobs for immediate action (invoice, quotation and warranty jobs)
· Liaise with all DFSE, job administrators and warranty decision makers at all branches to formulate workable solution to satisfy customers
· Monitor parts requested for jobs to ensure intended usage
· Weekly feedback to Finance Manager on status of WIP
· Booking of all buyouts and overtime to jobs
· Compliance with new WIP process
· Compliance with Finance Month end deadlines
· Ensure that creditor W 001 is balanced to zero – work with Cashbook Accountant on account Z 000 0013 008
· Ensure that all jobs are in rascal - No manual documents
· Each job number is to have a separate unique job file with all supporting documents
· Ensure all Maintenance contracts are billed out monthly and LPOs received from customer on time i.e. before Friday month end close
· Responsible for providing invoice and quotation for all related jobs
· Ensure adherence to invoicing limits (Limits to be set by Line Manager)
· Responsible for converting man hours into profitable cash
· Responsible for general administrative duties including handling of petty cash

Job Requirements
Required Skill and Experience
· At least 2 years’ experience in office and service administration Function
· Previous experience in the automotive industry is an advantage
· Accuracy and ability to pay attention to detail
· Good communication and interpersonal skills
· Self confidence and ability to handle pressure
Qualifications
· Qualification in Business Administration, Management or equivalent discipline
